8 Email & Lifecycle Platforms Compared: Costs, Data and Fit

By Trayan Hristov · Thrivelia · Reviewed 14 October 2026

Klaviyo, Omnisend, Mailchimp, Brevo, Dotdigital, Salesforce Marketing Cloud Engagement, HubSpot and Iterable solve different problems. Choosing between them means comparing the customer journey, the data behind it and the team that will run it, alongside the software bill.

For a Shopify fashion brand, the difficult decision might be the second outfit. For a subscription, it might be product adoption before renewal. For a SaaS product, it might be a meaningful activation event across several users in one account. A platform should support that decision, rather than determine the strategy by the templates it happens to provide.

The comparison at a glance

The fit assessments below are Thrivelia’s editorial judgement, informed by each vendor’s current product and pricing documentation. Plan availability and commercial terms should be confirmed against your actual requirements.

Klaviyo: build around the purchase and the next purchase

Klaviyo’s email pricing is based on active profiles, with sending capacity included in the plan. Its current documentation explains that suppressed profiles are treated differently from active profiles; an active profile is not simply the number of newsletter subscribers on your list. SMS and additional products need their own budget checks. See Klaviyo’s active-profile guidance and pricing.

Our starting recommendation is to evaluate Klaviyo closely when commerce events are central to the programme: what someone bought, whether they have purchased before, their product interests and their next likely buying decision. A footwear brand could use first model and order count to change fit education and next-pair recommendations.

In the demo, build one first-to-second-purchase journey from your own event payload. Test a second order arriving between messages, a returned order and a missing product property. An attractive default flow does not answer those questions. Read our Klaviyo flow build guide.

Omnisend: connected ecommerce channels and practical delivery

Omnisend supports email, SMS and web push. Its current Standard-plan documentation describes an email allowance linked to billable contacts; Pro lists unlimited email credits. Contact reach and SMS usage still need checking. Non-subscribed and unsubscribed contacts have different billing treatment, so compare the account’s billable population rather than only its subscriber count. Sources: pricing and account-management guidance.

We would shortlist it for an ecommerce team that wants to coordinate several channels around a manageable set of customer journeys. The evaluation should still reflect the brand’s real needs: subscription state, product recommendations, consent and purchase-aware exclusions.

Ask the vendor to demonstrate a customer without SMS consent passing through the same automation as one with consent, and a customer purchasing after the first recovery message. The useful question is how the journey adapts. Our Omnisend guide explains the brief and launch checks.

Mailchimp: audience marketing with the right automation tier

Mailchimp separates plans by contact allowance, sending capacity and available features. Marketing Automation Flows and more advanced functionality depend on the plan. The current pricing pages also identify overages and promotional terms; a headline introductory price should not be treated as the full renewal cost. Sources: pricing and automation features.

Our editorial starting point is a team whose programme combines regular content, a shared audience and a relatively straightforward store or lead journey. Before using it for deeper retention, check whether the chosen integration supplies the order, product and behavioural data that your proposed journeys require.

Demonstrate one subscriber becoming a customer, then a repeat buyer. Confirm how that changes segmentation and ongoing messaging, and what happens when the same person exists in multiple audiences. Use our Mailchimp automation guide to document the programme before choosing the plan.

Brevo: compare volume, automation and transactional work together

Brevo offers marketing email, automation, CRM and transactional capabilities. Its pricing requires checking email volume, contact storage and the automation/features available in the selected plan. Marketing and transactional products should be scoped explicitly rather than assumed to share the same allowance. Sources: Brevo pricing and product overview.

We would evaluate Brevo when the team wants to understand the cost of the sends it actually needs, with a clear account of what the automation must do. It can belong on a budget-conscious shortlist, but the proposed journey is the test: a low monthly licence does not compensate for a missing event or a manual workaround.

For a product or service onboarding programme, demonstrate the custom event, waiting rule, conditional branch and repeat-entry policy. Then distinguish service messages from promotional follow-up. The Brevo automation guide provides a practical planning and QA sequence.

Dotdigital: retail data and the operating programme

Dotdigital positions its platform around connected customer engagement. Its own buying guidance recommends checking extra charges for advanced features, users, support and send-limit overages. Use a scoped vendor quote rather than assuming that a public starting price includes the required integrations and channels. See Dotdigital’s platform buying guidance.

Our fit assessment is strongest where a retail team needs customer and catalogue data to support coordinated programmes across an established stack. The important distinction is whether the integration makes the required data useful to marketers, rather than simply transferring records.

For an apparel retailer, demonstrate a customer buying in-store and online, returning an item and later purchasing from a new collection. Check identity, category interest, stock and entry behaviour in the actual programme. Read our Dotdigital Program Builder guide for the implementation brief.

Salesforce Marketing Cloud Engagement: enterprise ownership matters

Salesforce publishes separate Marketing Cloud products and editions. This comparison refers specifically to Marketing Cloud Engagement and its journey-orchestration use case; a price for another Salesforce marketing product is not an interchangeable quote. Validate the edition, included capabilities and additions against Engagement pricing and Journey Builder concepts.

We would evaluate it for an organisation with an established enterprise data and CRM environment, a defined governance need and people accountable for maintaining the implementation. Buying the platform does not supply the data owner, journey designer or release process.

Ask the implementation team to demonstrate an entry dataset, customer identity, re-entry policy and a purchase or activation changing a later decision. Confirm ownership of data extensions, integrations, approvals and reporting. The Salesforce Journey Builder guide focuses on those delivery decisions.

HubSpot: CRM-led lifecycle and a clear sales handoff

HubSpot’s marketing capabilities sit within its wider CRM platform. Workflow availability and commercial terms depend on the edition and contract. The current catalogue distinguishes marketing and non-marketing contacts, while the pricing pages also describe seats and other allowances. Confirm the applicable model for your region, account and agreement rather than carrying forward an older price assumption. Sources: Marketing Hub pricing, product catalogue and automation overview.

Our starting fit is a business where marketing, sales and customer success need to work from shared contact, company and deal context. For a considered purchase or sales-assisted SaaS product, a qualified enquiry and its owner can matter more than an abandoned cart.

Demonstrate a lead becoming qualified, being assigned to sales, booking a meeting and entering customer onboarding after the deal closes. Then test a stalled deal and an existing customer making another enquiry. Agree who owns lifecycle stages, routing, data quality and the transition into service.

Iterable: product events and coordinated customer engagement

Iterable supports event-driven journeys across customer-engagement channels, including email, SMS and push. Its Smart Ingest functionality activates data from connected sources for segmentation, personalisation and journeys. The commercial evaluation needs a vendor quote matched to the users, channels and usage required. Sources: Journeys, Smart Ingest and platform overview.

We would shortlist it for a consumer app or a mature lifecycle programme that must respond to product behaviour across several channels. The main evaluation is whether the team can maintain useful events, identity and a coordinated journey as the customer’s behaviour changes.

For a subscription app, demonstrate a new user who has not completed the first meaningful action, a user who activates, and a user returning after a lapse. Show how email and push change with those events. Confirm how profiles and warehouse data are refreshed, and who owns schema changes.

Compare budgets using the same three scenarios

A price comparison becomes useful when every vendor is quoting the same programme. The following are illustrative quote inputs, not vendor prices or prescribed sending frequencies.

Scenario

Customer population

Monthly email requirement

Implementation question

Growing ecommerce brand

10,000 reachable contacts; identify the billable population separately

60,000 campaign deliveries + 15,000 flow deliveries

Can the team maintain purchase-aware journeys with its existing store data?

Established retailer

100,000 reachable contacts across relevant markets

600,000 campaign deliveries + 150,000 flow deliveries

How are stores, returns, catalogue changes and country-level channels connected?

Consumer app or enterprise programme

500,000 customer profiles, with channel permissions defined

2,000,000 email deliveries; quote push and SMS separately

Which events, identity rules, data connections and release owners are required?

For each scenario, include the peak month as well as the normal month. Quote SMS destinations and message volumes separately. Record whether service or transactional messages consume the same allowance, how usage beyond the plan is handled and what changes at renewal.

The twelve-month cost worksheet

Compare software licences, messaging charges, required add-ons, onboarding, migration, engineering, creative production, ongoing management and support. Add the internal time needed to maintain the programme. Avoid counting a cost twice when it is already included in a vendor or agency quote.

First-year total = twelve months of software and operating costs + one-time implementation costs. Compare that with the second-year operating total, and record currency, taxes, billing term, promotional expiry and renewal assumptions.

For example, an illustrative $300 monthly software saving is $3,600 over twelve months. If moving requires $8,000 of one-time work, the software saving alone takes about 26.7 months to cover that work. That arithmetic does not account for different capability, internal effort, disruption or improved performance; those need their own assessment.

Choose with a real journey, then plan the changeover

Score each shortlisted platform on your required events, segmentation, channel coordination, marketer usability, reporting, total cost and maintenance effort. Weight those criteria for the actual programme. A retail brand may prioritise product and order data; a CRM-led business may prioritise sales handoffs; an app may prioritise activation events and push.

Before migration, document consent, suppression, identity, properties, event names and live journeys. Decide which system owns each message during the transition. Test a new customer, an existing customer, a repeat purchase, missing data and an opt-out. Agree who approves the release and how the previous programme stops.

Keep the strongest existing journeys unless there is a reason to change them. Rebuilding every message at once makes it harder to understand whether the migration or the new strategy caused a result. Compare consistent reporting definitions before interpreting platform-attributed revenue.

Where Thrivelia helps

We help connect the platform decision to customer needs, lifecycle strategy, creative, implementation and measurement. An account audit and roadmap can clarify the work before a migration or rebuild. An ongoing partnership or consultancy engagement matches the support to your team’s capacity.

Start with the journey you need to run. Then choose the platform and the people capable of running it well.
